Summary:
The Assistant Project Manager supports the Project Manager in the coordination and execution of HVAC/R installation projects. This role involves handling project documentation, securing permits and insurance, managing submittals and RFIs, coordinating logistics with the install team, and maintaining communication with subcontractors, vendors, and internal staff. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively across multiple project teams.
Qualifications:
• High school diploma required
• Proficiency in Microsoft Office Suite, Procore, and Bluebeam
• Previous experience in the HVAC/R field is a plus
• Ability to multitask and prioritize tasks effectively
• Ability to read and interpret plans and drawings
• Ability to build strong working relationships with field staff, customers, building owners, etc.
• Ability to interact with all levels of the company
• Possess professional communication skills
• Proven ambition and management skills
• Demonstrate a history of dependability, reliability, and punctuality

Duties & Responsibilities: The following criteria identify duties to describe the
principal functions of the job and shall not be considered as a detailed description of all work
requirements that may be inherent in the position.
• Work closely with the Project Manager to understand the project’s contract scope and
deliverables, and identify issues of concern
• Gather and verify up to date drawings, specifications, addenda and bulletins from general
contractor
• Review and understand schedules, noting any long lead items, sequence, etc.
• Create and maintain project folders
• Obtain and secure all necessary permits (Sheet Metal, Mechanical, Gas fitting, Burn, etc..)
• Order insurance certificates
• Submit material and equipment to GC for approval
• Follow up on submittals, RFI’s and change orders
• Provide updated job binder with necessary forms, drawings and submittals required by the
foreman
• Solicit quotes for materials and subcontractors as necessary
• Coordinate certain logistics with the Install team
• Review pre-bid and scope of work checklists
• Review and understand the components on the schedule of values.
• Assist with the preparation and submission of monthly requisitions for the project
• Maintain organized documentation of all communications and project-related matters
• Participate in and plan for kick-off meetings
• Attend job site meetings as required to support job site Foreman and crew and to remain
informed of progress and potential issues at all times
• Participate with other Project Managers on manpower forecasting
• Schedule major deliveries with Foreman, GC, and vendors
• Obtain all certificates and other necessary paperwork from all sub-contractors working for the company
• Coordinate with all subcontractors
• Obtain copies of permits (if required) from sub-contractors for their work
• Facilitate communication among project stakeholders, including clients, sub-contractors,
installers, and suppliers to maintain project flow
• Assist in resolving technical problems or discrepancies that occur during project execution
• Fill out site visit reports and maintain for record
• Obtain record drawings from foreman once job is roughed to produce as-builts
• Fill out necessary warranty letter to be signed
• Be available and willing to travel to assigned job sites
