Driving requirements:
May occasionally drive a state vehicle to other DCF sites in the Central Region (Polk, Highlands, Hardee) during emergencies.
Overnight travel:
May occasionally involve overnight travel in the Suncoast Region during emergencies. The staff member reports to 200 N. Kentucky Ave, Lakeland, FL 33801, Monday to Friday 8-5, at their own expense. Any travel from that location is in a state vehicle, with gas, tolls and maintenance covered. Overnight stays are infrequent and usually related to Emergency Management activities; when one is required, hotel is included and meals are either provided or reimbursed.
Work environment:
This role carries a very wide range of responsibilities. You are the first person, and often the only representative of General Services, that many staff will meet, so conducting yourself and your business courteously and respectfully matters. This is a responsible position: you are expected to work independently, and to keep your supervisor and team leaders informed of situations and updates. It is a highly visible role, and you will regularly do things beyond the list below. With an open mind and good time management, it can be very rewarding work.
Candidate responsibilities:
- Maintaining and accounting for Personal Protection Equipment and DSNAP inventory and distribution systems
- Complying with CFOP 40-2 Vehicle Management, maintaining your state vehicle and other state vehicles, and submitting monthly logs in a timely manner
- Maintaining the ERV (Emergency Response Vehicles and Trailers)
- Assisting the MASC with day-to-day needs, and witnessing the destruction of mail on a weekly basis
- Assisting with internal and external moves for the department
- Making keys for employees who request them, and managing a log of who holds one
- Managing the keycard system for several sites
- Disposing of surplus materials and furniture in accordance with CFOP 80-2
- Supplying employees with furniture and desks as needed
- Installing whiteboards, corkboards and pictures across the region, in offices and hallways
- Always arriving at a site prepared with hand dollies and the necessary tools, and being responsible for equipment and tools issued to you
- Assisting IT with equipment moves, and during large moves
- Using the correct hand dollies to move very large and very heavy items such as filing cabinets and desks, following CFOP 215-4 Safety and Loss Control
- Making sure everything is operating as it should at facilities - AC, lights and so on - so that employees can work comfortably
- Learning many different areas, where to go and who to see
- Introducing yourself professionally at each site and leaving a business card; building a directory gives you a point of contact everywhere you visit
- Maintaining the warehouse, keeping it neat and tidy and the aisles clear
- Ordering supplies and requesting a PO for keys as early as possible, since the process can take a while. Never authorise services without a purchase order
- Assisting Disaster Management to prepare facilities and assets for the event and recovery efforts when the state of Florida is impacted by a hurricane
- Ensuring all sites have no safety issues before leaving; safety issues must be dealt with immediately
- Asking anyone trespassing on state property to leave, calling 911 if they refuse, and immediately informing the designated regional contacts
- Transferring surplus IT equipment to the Wildwood warehouse
- Conducting site inspections as directed across the region
Requirements
- Ability to work onsite in Lakeland, FL, Monday to Friday, 8:00 AM - 5:00 PM
- Ability to drive a state vehicle to other DCF sites in the Central Region (Polk, Highlands, Hardee) during emergencies
- Availability for occasional overnight travel in the Suncoast Region during emergencies
- Ability to move large, heavy items such as filing cabinets and desks using hand dollies, following CFOP 215-4 Safety and Loss Control
- Ability to work to CFOP 40-2 (Vehicle Management) and CFOP 80-2 (surplus disposal) procedures
- Ability to work independently and keep supervisors and team leaders informed
- Courteous, professional conduct in a highly visible, staff-facing role
- Strong time management across a wide and varied workload
